Property Manager - Nashville, TN

The Property Manager I will work closely with portfolio manager in the daily operations and maintenance of a portfolio of 1 – 2 commercial office buildings within a specific market.  This position will provide support to portfolio manager in the gathering of information and the analysis of operating metrics as well as the preparation of annual budgets for the managed properties.  Duties also include supporting the portfolio manager and maintenance team in maintaining the integrity of the physical asset and maximizing the returns from the assets in accordance with the Company’s mission, vision, and objectives.

Knowledge, Skills and Abilities Required:

  • Responsible for the prompt and positive response to requests from tenants, to constantly assess tenant and facility needs and assure problems are being solved promptly, and to the mutual benefit of the tenant and ownership, including preparing, dispatching and tracking tenant work orders/requests and service needs
  • In coordination with portfolio manager, supervise Building Maintenance Staff and additional Property Management employees and contractors and ensure that procedures and specifications are maintained
  • Provide ongoing performance feedback to employees on a regular basis and participate in Talent Conversations with portfolio manager
  • Review Rent Roll and Lease-up Billings to ensure that they are both current and accurate
  • Review all monthly, quarterly, and annual financial reports with support from portfolio manager as needed
  • Maintain notes in operational platform software (MRI/Yardi/ETS/ReLynx) related to A/R delinquencies, monthly variance explanations, corrective and preventative maintenance orders and, other needed updates
  • Process, prepare and track all vendor contracts
  • Ensure all tenant and contractor Certificates of Insurance are kept current
  • Ensures that property files and records are maintained
  • Approves expenditures in accordance with Company and/or Client policy and procedures
  • Prepare and/or supervise presentation of quarterly newsletter or other forms of tenant communication
  • Maintain orderly files (Vendor and Tenant) in accordance with Company policy and procedure
  • Develop and maintain ongoing tenant interaction on a weekly basis
  • Continually improve upon management and technical skills

Other Requirements:

  • Minimum of 2 years of experience in Commercial Property Management
  • Bi-lingual (English & Spanish) depending on location
  • Associate Degree or comparable Business Management or Real Estate experience preferred
  • In pursuit of State Real Estate license
  • Strong leadership and motivational abilities, team player
  • Exceptional communication skills
  • Must have attention to detail, ability to multi-task, and excellent organizational skills
  • In pursuit of CPM/RPA designation or candidate (preferred)
  • Computer skills (Word, Excel, Outlook) and MRI helpful
  • Employee spends a considerable amount of time engaged in communication with others
  • Must have excellent communication and listening skills
  • Valid Driver’s license, proof of insurance, and clean MVR report
  • Employee is required to walk the premises which can require climbing stairs to inspect stairwells, and be in elevated or high spaces, such as roofs and decking to inspect equipment if necessary
  • Employee may occasionally be required to lift or move items over 10 pounds
  • On call 24/7 in emergency situations at properties
  • Property Manager may have supervisory duties of maintenance engineer and with support from portfolio manager
  • Manage or assist Construction Manager in the oversight of TI projects (vendors / contractors) on premises to make sure work is being done according to specifications with support from portfolio manager

Lead Accountant (HCP) – Nashville, TN

The Lead Accountant – HCP is responsible for maintaining the integrity of the financial statement of their assigned properties.

Knowledge, Skills and Abilities Required:

  • Audit/Review of Lease Entries, Journal Entries, and Batch Postings by Staff Accountants
  • Guide/Review the Staff Accountants in month end duties as well as daily tasks.  Including review of month-end Accruals, Common Area Maintenance Reconciliations, Variance Notes, Income Statements, Bank Reconciliations, and General Ledger Reconciliations
  • Second-level review of daily Cash Receipts and Accounts Payable invoices
  • Review and monitor major Aged Delinquencies and work with Staff Accountants and Property Management to resolve cash application issues
  • Mentor, guide, and train assigned Staff Accountants
  • Lead monthly operating calls with Asset Management as well as participate in various internal meetings
  • Assist and provide daily support to Property Management, Asset Management, and the Client Accounting Team
  • Review and post Year End Common Area Maintenance Reconciliations
  • Responsible for oversight of leasing assumptions and certain expenses input into budgeting module
  • Responsible for overall budget review on a property-level basis
  • Assist Controller and Senior Lead Accountant with special projects

Other Requirements:

  • B.S. in Accounting or 4 or more years of related accounting experience
  • Understands the Importance of the Tenant-Client-Manager-Vendor Relationships
  • Solid Customer Service and Interpersonal skills
  • Attentive to Detail
  • Trustworthy and preserves confidentiality
  • Requires extended hours to meet specific monthly or project related due dates

Grounds Crew Member – Portage, IN

Holladay Properties' South Bend, Indiana office is seeking an energetic, talented and efficient individual to join its experienced grounds crew. This full-time crew member will assist in the upkeep of several commercial properties to enhance and maintain the property’s peak appearance at all times. Job responsibilities will include mowing, trimming, edging, mulch application, maintaining flower beds, fertilizing, pruning, installing landscaping, snow removal, and care and maintenance of equipment and grounds vehicles. The ideal candidate will have excellent customer service skills, and be comfortable working outdoors and as a team member.

Knowledge, Skills and Abilities Required:

  • High School Diploma
  • Valid driver's license
  • Ability to lift 80lbs
  • Excellent communication skills
  • Able to tolerate temperatures of 100 degrees or more and below freezing temperatures while working outdoors
