Receptionist/Administrative Assistant – South Bend, IN

The Receptionist/Administrative Assistant's primary responsibility is to assist with administrative support to property management in all markets, performing and coordinating office administrative activities with storing, retrieving and integrating information for dissemination to staff and tenants. This position requires that the individual be able to manage multiple projects, meet crucial deadlines and communicate effectively with many different persons in different capacities throughout a day. Flexibility, a positive attitude and people skills are a must in this position.

Essential Functions:

  • Receive all incoming calls and manage accordingly
  • Coordinate tenant appreciation program
  • Prepare for new tenants
  • Track tenants through move in to assure a smooth transition
  • Assist with the preparation and filing of real estate taxes
  • Monitor and renew accreditation, dues payments, licensing and membership
  • Register employees for functions and continuing education courses
  • Arrange employee gatherings, including birthdays, Christmas parties, chili cookoffs, potlucks, blood drives and flu-shot clinics
  • Act as Holladay Properties' liaison with the Boys and Girls Club and other charities supported by the company

Requirements:

  • Valid driver's license
  • Advanced experience with Microsoft Excel, Microsoft Word, PowerPoint and Adobe
  • Excellent verbal and written communication skills, including phone operation
  • Ability to multi-task and adjust focus when facing multiple project deadlines
  • Able to drive long distances, and show vacant space, inspect grounds and facilities in adverse weather conditions
  • Able to sit at a desk for up to 6 hours, climb 3 flights of stares, reach, stoop, kneel and crouch
  • Able to read and follow instructions, warning, procedures, etc.

Grounds Crew Member – Indianapolis, IN

Holladay Properties' Indianapolis, IN office is seeking an energetic, talented and efficient individual to join its experienced grounds crew. This full-time crew member will assist in the upkeep of several commercial properties to enhance and maintain the property’s peak appearance at all times. Job responsibilities will include mowing, trimming, edging, mulch application, maintaining flower beds, fertilizing, pruning, installing landscaping, snow removal, and care and maintenance of equipment and grounds vehicles. The ideal candidate will have excellent customer service skills, and be comfortable working outdoors and as a team member.

Knowledge, Skills and Abilities Required:

  • High School Diploma
  • Valid driver's license
  • Ability to lift 80lbs
  • Excellent communication skills
  • Able to tolerate temperatures of 100 degrees or more and below freezing temperatures while working outdoors
  • Ability to work well under pressure, multi-task and meet deadlines
  • Strong commitment to high level service and quality standards

Holladay Properties' South Bend, Indiana office is seeking an energetic, talented and efficient individual to join its experienced maintenance staff. This full-time crew member will assist in the maintenance of several commercial properties. Job responsibilities will include repairing, installing, replacing and maintaining machinery, mechanical equipment, electrical equipment, fixtures, plumbing, tools and building materials. The ideal candidate will have excellent customer service skills, be comfortable handling and operating hand tools, power tools, and have a general knowledge of building maintenance.
